How do I set up an Agoda Special Offers rate plan in YCS?

Important:

• Before setting up an Agoda Special Offers rate plan, please make sure that your default rates and availability are properly set up in YCS >> Rates and Availability >> Calendar. For more information on how to manage your rates and availability, refer to our article here.
• Please remember to always click Save at the bottom right of the page as you move through the form in order to save your progress.
• The form includes a live scoring bar to track your progress through the key Agoda Special Offers parameters that are known to attract customers.

To set up your Agoda Special Offers rate plan in YCS:

1. Navigate to YCS >> Rates and availability >> Rate plans

2. Click the blue +Create button

3. Turn on the Advanced setup by clicking on the toggle so that it turns blue. Then, click the option for Agoda Special Offer in the Rate plan type section

4. Complete the rest of the form to fill in your Agoda Special Offers rate plan details. All mandatory fields are marked with (*).

a. General information

• Internal Name (mandatory)

This name will only be visible internally on YCS. The internal name is useful to track bookings and performance from specific Agoda Special Offers rate plans, particularly if you decide to set up more than one.

• External Code ID

This is where you can enter your rate code (if applicable).

• Cancellation Policy (mandatory)

Select the cancellation policy that you would like to apply to bookings for this rate plan.

• Auto-extend Rates

If you turn on this option, the system will automatically extend the rate plan and availability to ensure that it will not be deactivated.

• Use prices from

Using the drop-down menu, you can link your Agoda Special Offers rate plan to an existing rate plan. Note that if you choose to link rate plans, the auto-extend rates option will be switched off.

After selecting a rate plan to link, you will also be able to set a price increase or decrease for the Agoda Special Offers rate plan, based on percentage or flat rate, and calculated per booking, per guest per night, per room per booking, or per room per night.

• Rate type (mandatory)

From the drop-down menu, choose your preferred rate type: Sell Inclusive or Sell exclusive.

b. Rate plan information

• Rate plan name (External) (mandatory)

This name will be visible to customers when they view your property page on the Agoda website or app. Limited to a maximum of 60 characters.

We recommend creating a name that emphasizes the most attractive benefits in the offer, for example: Romantic staycation with THB3000 dining credit.

• Rate plan description

Provide a description of the rate plan to help customers better understand the benefits included in the offer. Limited to a maximum of 1000 characters.

• Rate plan inclusions (mandatory)

Provide a description that describes the value of all included benefits. Limited to a maximum of 1000 characters.

For example: Dinner at Restaurant X worth $100, 45 minutes Foot Massage voucher value VND 500,000, etc.

• Rate plan exclusions

Provide the necessary information about what is excluded from the rate plan. Limited to a maximum of 1000 characters.

• Rate plan terms & conditions

Provide the terms & conditions for this specific rate plan (if applicable). Limited to a maximum of 1000 characters.

We recommend adding more than one language for your Agoda Special Deals rate plan descriptions. To add a language, click on the blue Add another language button.

c. Book dates:

• The first set of dates allows you to select when your Agoda Special Offers rate plan will be available to book (displayed on Agoda). If you do not want to set a limited time, tick No end date.
• Arrival dates allows you to select which check-in dates are applicable to your Agoda Special Offers rate plan. If you do not want to limit check-in dates, tick Extend arrival dates to indefinitely.

d. Day use:

• Agoda Special Offers rate plans are not eligible for Day use bookings – please ensure that No is selected (highlighted in blue).

e. Benefits:

• Tick the check box for each of the benefits included in the Agoda Special Offers rate plan. To view the complete list, click Show more.
• Note that to be eligible, your Agoda Special Offers rate plan must include at least one high-tier benefit and two medium-tier benefits.

f. Photo

• Upload 1-2 photos that highlight the benefits offered by your Agoda Special Offers rate plan. The photo(s) will then be displayed as a banner for the rate plan on YCS and on Agoda’s front end (visible to customers).

g. Restrictions

• This section allows you to set up fencing options and targeting parameters for your Agoda Special Offers rate plan.
  • Fencing options (or restrictions) include:
    • Sell limit per day
    • Lead time (minimum & maximum)
    • Length of stay (minimum & maximum)
    • Restricted days
  • Targeting parameters include:
    • Channels (this refers to Targeted Promotions, or what were previously called Rate Channels)
    • Customer segments (selected by country/language)

h. Children fee

• Child fee applied

Select Yes or No to apply a child fee to this rate plan

• Children price

If you select Yes to apply the child fee, you can enter the Child age bucket (a specific age range, for example 1-5 years old) and Price (per child)

i. Rooms

• General information

Select the applicable room information from the options provided

• Room types

From the options provided, select the room types for which you would like this Agoda Special Offers rate plan to be applied

5. Click Submit for approval

Once the Agoda Special Offers rate plan is submitted, the status will change to Under Review (shown as a badge next to your rate plan name). Your rate plan will be reviewed within 14 days.

What is the approval process for an Agoda Special Offers rate plan?

• If your Agoda Special Offers rate plan is approved, the status will be changed to Active, and an Agoda Special Offer badge will be attached to the rate plan.

• If your Agoda Special Offers rate plan is rejected, the status will still be changed to Active, but the rate plan will only be applied as a Basic plan.
