An effective cancellation policy can make all the difference in attracting reliable guests and safeguarding your revenue. By choosing a policy that aligns with your property’s unique needs, you ensure clarity for guests while gaining control over cancellations and minimizing potential losses.
How do I set cancellation policies for my property?
In YCS, you have the flexibility to select a cancellation policy when setting up a rate plan or promotion. On the Rate plans and Promotions pages, you can customize policies for specific periods and manage cancellation fee waivers to handle common guest requests, helping you find the right balance between flexibility and security.
Note that a rate plan must be set up in order to get bookings, and a cancellation policy must be selected or configured for each rate plan.
How do I set up a cancellation policy for a rate plan?
- Navigate to YCS >> Rates and availability >> Rate plans
- Click + Create to set a cancellation policy for a new rate plan or click on the rate plan you want to edit.
- Click Select a cancellation policy
- Search for and select the policy you want to apply to this rate plan, then click Confirm.
- Review your rate plan and then click Save.
How do I apply a cancellation policy to a promotion?
- Navigate to YCS >> Rates and availability >> Promotions
- Click Choose new promotion
- Select the promotion you want to activate.
- Click Add a restriction, tick Cancellation policy, and click Next.
- Select the cancellation policy you want to apply to this promotion from the drop-down menu.
- Review your promotion and then click Activate.
How do I know which cancellation policy will be applied to a booking?
In the case that there are overlapping cancellation policies active for your property at any one time, a specific logic will be applied to determine the cancellation policy of any individual booking.
- If EasyCancel is applicable to your property, this cancellation policy will automatically be prioritized.
- If you do not have EasyCancel, the cancellation policy from your active Seasonal or Essential promotions will be prioritized. Note that in order to add a cancellation policy to a promotion, this must be created under promotion restrictions.
- If the above two conditions are not applicable, then the strictest cancellation policy between the rate plan, and Targeted promotion will be prioritized.
